The Administrative Assistant is responsible for greeting all visitors to our company, answer and redirecting phone calls and providing clerical support to all our company departments.

The Administrative Assistant reports to the Controller and Bookkeeper/HR Manager.

The responsibilities of the Administrative Assistant include but are not limited to:

• Daily Sales Orders
• Entering approved sales orders from our sales department. Creating new sales folders for our Reno & Seattle locations.

Daily Accounts Payable Invoicing
• Process all approved account payable invoices for both Seattle and Reno locations.
o That includes matching up PO's to pick list and invoices and freight invoices as well.

• Maintains and updates daily excel spreadsheet for: Large press production (Production spreadsheets for both Reno & Seattle locations)
• New Customers

• Establish new customer files that include credit and reference documentation along with the
Bookkeeper's approval.

1. Order office supplies
2. Send and retrieve mail from mailbox
3. Filing-AP & AR
4. AR calling for payment updates
5. Other Duties as assigned – Coordination of luncheons, office events, birthday celebrations, errands as needed.

Hours: Work schedule is from 7:30 am to 4:00 pm Monday through Friday with a 30-minute lunch

• Upon hire, it may be necessary to submit to a drug test and/or criminal background check
• Upon hire, proof of identity and U.S. employment eligibility is required
• Seeking candidates with high school diploma or equivalent
• Must be at least 18 years of age
