Essential Duties and Responsibilities:

Accounts Receivable/Accounts Payable: (80%)
• Performs weekly check runs – creating the check run list for approval and printing checks
• Responsible for maintaining the AR/AP inbox
• Responsible for preparing and filing annual 1099 forms
• Prepares and maintains export documents and certifications (NAFTA)
• Running AR and AP Aging schedules
• Creates/maintains accounting records and folders
• Setting up new customers and vendors
• Ensuring invoices go through the proper channels for approval
• Uploading, coding and posting credit cards, Fed Ex and UPS invoices
• Processing SG&A and COGS related invoices in Navision
• Maintain multiple excel spreadsheets
• Responsible for renewals of annual licenses
• Printing/routing/responding to incoming emails to the AR and AP inbox
• Performs collection calls with customers/provide payment status to vendors as needed
• Preforms daily sales Invoicing - posting sales invoices and transmitting invoices to
• Works with other departments to resolve billing discrepancies
• Processes employee expense reports
• Filing/following up/tracking customer/vendor related disputes
General Ledger: (10%)
• Performs accrual for SG&A and freight during month end close
• Reconciling prepaid accounts
• Assists with month end and year end close
• Assists with annual audit
• Responsible for gathering/pulling documentations for projects
• Assist in reconciliation of Balance Sheet Accounts
• Enters storage and freight invoices in Navision
Administrative: (10%)
• Files/Pulls accounts payable invoices
• Maintaining and updating current SOPs
• Replenishing & paying postal meter
• Assist in ad-hoc projects and other administrative duties
• Retrieve/distributing daily mails

Knowledge of GAAP, Advanced proficiency in MS Office software applications (Excel, Word, Power point, Outlook) Knowledge of Navision manufacturing, inventory, general ledger, and accounting database management and reporting software.

Ability to work at a computer for extended periods of time. Ability to lift up to 32 lbs on
occasion. Ability to communicate on telephone for extended periods of time.

The employee is generally working in an office environment, very rarely exposed to extreme
cold (non-weather) in freezer. The noise level in the work environment is usually quiet to
moderately loud.
